Specialty Eye MDs is a large and comprehensive Ophthalmology practice in New Jersey. We are the recognized leader in vision care treating adults and children.

 JOB TITLE: FRONT DESK SUPERVISOR

POSITION SUMMARY:

The FRONT DESK SUPERVISOR is responsible for the training and supervision of front desk associates including insurance authorizations & pre-certs, assisting managers and directors with administrative processes, and performing the duties of a front desk associate or insurance specialist when necessary.

He /she is responsible for answering phone calls, recall patients and answer queries from hospital / doctors’ office regarding patients’ records etc., maintaining patients charts and making them available for periodic audits in a timely manner.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

This is a basic list of duties but not an all-inclusive one. Additional responsibilities maybe assigned, if deemed necessary by the Practice Manager.

  • Provides leadership to team of front desk associates and insurance verifiers, training for new hires and implement changes in policy/procedure.
  • Ensures that Front Desk associates strictly follow the Front Desk Training Manual and have the necessary resources / tools, and provide periodic training needed to perform better in their duties.
  • Ensures error-free workflow by monitoring the Front Desk associates enter clean, accurate and complete data in the EMR.
  • Maintains schedule for staff to ensure adequate coverage is available for the smooth and efficient working of the Front Desk activities.
  • Performs the role of front desk associate or insurance specialist when staffing needs require.
  • Adheres to no tardiness, zero-overtime policy and official working hours’ schedule.
  • Answers patient questions and responds / resolves patient concerns/frustrations
  • Maintains cleanliness and professional appearance of the front office area of the clinic and provide a pleasant patient experience.
  • Adheres to organizational policy & procedures as enumerated in the Employee Manual, with particular attention to standards of conduct and to confidentiality as it relates to HIPAA.
  • Assists Practice Manager / Office Manager with supervisory responsibilities for the front desk team, as well as process improvement initiatives and changes regarding insurance, company policies, etc.
  • Performs other tasks as instructed by the Practice Manager / Office Manager.

 

QUALIFICATIONS & SKILLS:

  • A high school diploma or GED required. Associate or Bachelor’s degree a huge plus.
  • Experience with Google Documents, MS Office Suite, MS Visio.
  • Experience with My Vision Express and STI or any other EMR
  • Excellent customer service skills.
  • Knowledge of medical billing and insurance related to Ophthalmology & Optometry
  • Knowledge of third-party insurances.
  • Ability to establish and maintain effective working relationships with patients, staff and physicians.
  • Great telephone etiquette and ability to speak clearly and politely.
  • Extremely high standards with a passion for excellence, integrity, and efficiency
  • Excellent written and verbal communication skills.
  • Great attention to detail and organizational skills.
  • Team-oriented work ethics.
  • Ability to work in a fast-paced office setting, work evenings and weekends on occasion.
  • Ability to check and reply to emails within 2-3 hours in most situations.

 

PREFERRED EXPERIENCE:

  • Manage a team of 3 associates.
  • Knowledge of Social media marketing
  • Performed an administrative support role for a medical practice.
